Troubleshooting & Known Issues - Universal Print on macOS

Known Universal Print issues

Authentication

Authentication state is reset when closing the app

  • Issue: After closing and re-opening the app, it may show that you are no longer signed in. Printing will still work in this state, and clicking "Sign in" again will show the correct state.
  • Workarounds: ❌ There is no workaround.
  • Planned Fixes: ✅ The fix is planned.

Login dialog popup prompt

  • Issue: If you're signed in to multiple accounts from different tenants in Safari, you may see this popup when using the app. Does not apply to customers using platform SSO (i.e. Intune) login prompt
  • Workarounds: ➡️ In Safari, sign out and forget the other accounts.
  • Planned Fixes: ✅ The fix is planned.

Other

  • Issue: After submitting a print job, opening the printer's queue shows no jobs.
  • Workarounds: ❌ There is no workaround.
  • Planned Fixes: ✅ This issue is fixed in macOS Sonoma 14.2.

When opening the Universal Print app, system settings doesn't automatically navigate to the Universal Print page

  • Issue: When a user opens the Universal Print app (e.g., from the desktop, Finder, Spotlight, or Mission Control), the System Settings app launches and does not navigate to the Universal Print page.
  • Workarounds: ➡️ Manually navigate to the Universal Print page by scrolling to the bottom of the navigation menu and selecting Universal Print.
  • Planned Fixes: ✅ The fix is planned.

"Changed certificate" or untrusted certificate error when printing

  • Issue: When attempting to print, users see a "changed certificate" or other certificate error from the printer that blocks printing. This is typically caused by a network proxy, firewall, or other TLS-inspecting security appliance in the network path that intercepts the secure (TLS) connection between the Mac and the Universal Print service and presents its own certificate instead of the one issued by Microsoft. Because the Mac previously stored either the inspecting device's certificate or Microsoft's certificate, seeing the other certificate on a later connection triggers the "changed certificate" error. This is typically an environmental/network configuration factor rather than a defect in the Universal Print app or service.

  • Workarounds: ➡️ Exclude print.print.microsoft.com (or more generally, *.print.microsoft.com) from TLS inspection so the connection always uses the Microsoft certificate. After confirming the exclusion, on the affected Mac go to System Settings > Printers & Scanners, select the affected Universal Print printer, open its print queue, and click Resume. Submit a new print job and the next request will store the correct certificate, and printing should resume without a certificate mismatch.

Warning

You should also ensure that https://login.microsoftonline.com/ (or the equivalent Entra ID URL for your cloud) is excluded from TLS inspection to prevent authentication issues when users print or use the Universal Print app.

  • Planned Fixes: ❌ There is no planned fix, as this is caused by network configuration rather than a product defect.

Printers with known issues

The below printer models are known to have issues when used with Universal Print on macOS when connected directly to Universal Print. Print jobs sent to these printers are likely to be aborted. We're looking into possible solutions.

Tip

You can still use these printers with Universal Print on macOS if you register them using the connector instead of registering them directly with Universal Print.
