Build a student recruitment solution with Power Platform

Higher education institutions often manage student recruitment across separate marketing, recruitment, and student information systems. This reference architecture shows how Microsoft Power Platform can bring recruitment interactions and enrollment data together to support personalized engagement and provide insight into which recruitment activities contribute to enrollment.

Tip

This article provides an example scenario and architectural overview of a solution for student recruitment. This solution is a generalized example that can be adapted to various industries and use cases.

Architecture

Workflow

  1. Centralized data model

Build a data model in Dataverse. Model all relevant entities, such as:

    • Contact: Each contact is uniquely identified by their email address.

    • Person (Student): A Person can be linked to multiple Contacts over time, reflecting different email addresses used throughout the student lifecycle. For example, a prospective student might initially be known through a personal email address and later receive an institutional email account upon enrollment. Both contacts remain associated with the same Person record, allowing recruitment and academic data to be consolidated into a single student profile.

    • Enrollment: A student might be enrolled in multiple study programs. For example, they might take a course during the first year and another program in the second year.

    • Study Program: The complete catalog of programs offered by the institution.

    • Marketable Program: The catalog of study programs in the student information system doesn't always align one-to-one with the programs promoted through recruitment channels. Often, several study programs are grouped into a single marketable program. In some cases, marketing activities, such as lead generation, begin before a study program is formally created in the student information system.

    • Recruitment Touchpoint: All interactions between contacts and marketable programs are captured as touchpoints. Each touchpoint is recorded with a timestamp and a type, such as fair attendance, webform submission, and digital flyer download. Tracking these interactions is crucial for later analysis, such as understanding which recruitment activities contribute most effectively to student enrollments, identifying high-performing channels, and measuring conversion rates across the recruitment funnel.

Build the data model within a Dynamics 365-enabled Power Platform environment that's configured to use the Dynamics 365 Customer Insights - Journeys app. You can build a model-driven app to visualize and manage data such as touchpoints and marketable programs.

  2. Data ingestion and synchronization

    1. Student information system synchronization: Import student and program data from cloud and on-premises student information systems by using Power Platform dataflows. Use scheduled dataflows to update the Study Program, Enrollment, Person, and Contact tables. Match records on email addresses to link imported records to existing contacts. This approach lets you use Dataverse filters to identify which marketing contacts are already enrolled at your organization and which aren't.

    2. Real-time data capture: Handle real-time updates from web forms and external marketing tools that support webhooks by using Power Automate flows. These flows create or update contacts and recruitment touchpoints, ensuring all interactions are captured in Dataverse.

    3. Bulk uploads: Support manual or scheduled bulk data uploads, such as Excel files from fairs or partners, by using Power Automate flows. This approach also allows you to either create or update the related contacts.

  3. Marketing automation and engagement

    1. Marketing automation: Orchestrate personalized, multichannel marketing campaigns, such as email, SMS, and events, based on data in Dataverse, by using Dynamics 365 Customer Insights – Journeys. Event management and registration forms are integrated, allowing prospective students to sign up for events and sessions, with all interactions tracked as touchpoints. Automated journeys nurture leads, trigger follow-ups, and adapt conditional and AI-driven content based on engagement and program interest.

    2. Engagement tracking: Build Power Automate flows to capture interactions from Dynamics 365 Forms and Event Registrations and store them as Recruitment Touchpoints linked to a contact and one or more marketable programs.

  4. Analytics and insights

Power BI dashboards provide real-time and aggregated insights into recruitment funnel performance, touchpoint effectiveness, and conversion rates.

Data is available at both the individual (Contact) and aggregate (Program, Recruitment Touchpoint parameters) levels, supporting data-driven decision-making, recruitment-effectiveness analysis, conversion tracking, and engagement measurement.

AI-driven insights, such as lead scoring and content suggestions, are surfaced in Microsoft Fabric and Customer Insights, enhancing personalization and operational efficiency.

  5. Copilot and AI integration

Microsoft Copilot Studio agents are built on top of Dataverse to assist staff with follow-up actions, answer common questions, generate personalized marketing content, and automate routine tasks.

Components

  • Microsoft Dataverse: Central data platform for all recruitment entities and relationships.

  • Dynamics 365 Customer Insights – Journeys: Marketing automation, event management, and personalized communication.

  • Power Automate: Real-time and scheduled data integration, process automation, and orchestration.

  • Power BI: Advanced analytics and dashboards for recruitment performance, conversion analysis, and engagement effectiveness.

  • Copilot Studio: Custom agents and chatbots for staff and prospect support.

  • Power Platform dataflows: Bulk ETL for scheduled synchronization with student information systems and external sources.

Scenario details

This scenario shows how a connected recruitment solution helps higher education institutions address fragmented data, personalize engagement, and link recruitment activities to enrollment outcomes.

Business challenge

Higher education institutions often struggle with fragmented IT landscapes for student recruitment. Multiple disconnected Software as a Service (SaaS) tools, custom forms, and legacy systems make it difficult to:

  • Work efficiently and cost-effectively
  • Ensure GDPR compliance
  • Map recruitment touchpoints to actual enrollments
  • Measure the effectiveness of recruitment activities
  • Understand which engagement channels contribute most to enrollments
  • Deliver personalized, timely engagement at scale

Solution

This architecture provides a unified, scalable solution for student recruitment:

  • Centralizes all recruitment data in Dataverse, enabling a 360-degree view of each prospect and their interactions.
  • Automates marketing and engagement processes, reducing manual effort and increasing conversion rates.
  • Delivers actionable insights for both operational and strategic decision-making.
  • Supports compliance and data privacy by consolidating data and managing consent centrally.
  • Empowers staff and students with Copilot-driven automation and self-service capabilities.

Considerations

These considerations implement the pillars of Power Platform Well-Architected, a set of guiding tenets that improve the quality of a workload. Learn more in Microsoft Power Platform Well-Architected.

Security

  • Role-based access and security groups protect sensitive student data.
  • Centralized consent and preference management support GDPR compliance. For example, opt-in or opt-out across several marketing tools that generate lead information.

Operational Excellence

  • Automated scheduling, monitoring, and alerting for all integration and marketing processes.
  • Clear separation of bulk and event-driven data flows.

Responsible AI

  • Use AI features to enhance, not replace, human decision-making.
  • Make all AI-driven processes transparent and auditable.
