Summary
Turn a recurring service commitment into work your team can prepare for and billing that reflects the contract. A well-configured agreement gives dispatchers time to arrange visits, technicians equipment-specific work details, and billing teams a separate schedule for recurring fees.
In the air-conditioning service example, annual inspections and quarterly maintenance follow their own service patterns while the monthly fee follows an independent billing pattern. Separating these decisions helps you avoid confusing a generated work order with a confirmed appointment, or a completed visit with a recurring invoice.
Apply these practices to keep the service commitment and generated records aligned:
- Establish the right agreement details: Confirm who receives service, who pays, what pricing applies, and when coverage begins and ends. Keep ownership and generation permissions valid as staff responsibilities change.
- Prepare work before it is due: Match booking recurrences and generation lead times to the service commitment. Choose direct bookings deliberately or hand the work to dispatcher-managed or configured automated scheduling.
- Connect the work to the equipment: Use agreement incidents to bring the intended tasks, customer assets, and functional locations into each recurring work order. Group incidents or separate setups according to the required visit structure.
- Keep billing intentional: Configure the recurring invoice independently of service dates, and define how covered work order charges are handled to avoid billing twice for the same commitment.
- Verify outcomes after activation: Review booking and invoice dates, inspect generated records, and investigate overdue generation. A processed booking date confirms a work order exists, not that a technician is booked.
The result is more than an Active agreement. Your team has a repeatable way to prepare the right work, arrange the visit, and check that billing matches what the customer agreed to.
