Deploy Sales Agent in Outlook and Teams
Sales Agent requires separate deployment to Microsoft Outlook and Microsoft Teams. Deploying it from the Microsoft 365 admin center makes it available in Outlook and other Microsoft 365 applications, but it doesn't install the app in Teams.
Review deployment prerequisites
Before deployment, verify the following requirements:
- A Microsoft 365 administrator can deploy the integrated app and assign users or groups.
- A Teams administrator can create and assign an app setup policy.
- Users have licenses that support the Sales Agent capabilities that your organization plans to enable.
- User access for agents is set to All users in the Microsoft 365 admin center.
- Administrators and sellers have the required CRM roles and privileges.
Deploy Sales Agent to Outlook and Microsoft 365 Copilot
The Microsoft 365 admin center deploys Sales Agent in Fixed mode by default. Users receive a fixed deployment automatically and can't remove it.
- Sign in to the Microsoft 365 admin center.
- In the left pane, select Agents > All agents.
- On the All agents page, search for Sales, and then select it.
- In the Sales pane, select Deploy.
- Select the users or groups that need access, and then select Next.
- Review the permissions, select Next, and confirm the deployment settings.
- Select Finish deployment, and then select Done when deployment is complete.
Allow up to six hours for Sales Agent to appear in the Outlook ribbon. In some environments, deployment to Outlook and other Microsoft 365 apps can take up to 48 hours. For troubleshooting, see Why can't users see Sales Agent in Outlook after it's deployed?
Manage the app
To manage Sales Agent, go to Agents > All agents in the Microsoft 365 admin center, and then select Sales. The Sales pane includes these tabs:
- Overview: Review agent information, assigned users, and channel availability.
- Connected Agents: Review agents connected to Sales Agent.
- Custom tools & knowledge: Add tools and knowledge to Sales Agent.
- Users: Change which users can use Sales Agent.
To install an available update, open the Sales pane, and then select Update.
User-deployed app installation
If administrators don't block user installation, sellers can install the Outlook add-in and Teams app from Microsoft Marketplace. A user-deployed Outlook add-in doesn't support Sales Agent banner notifications and doesn't add Sales Agent automatically to meeting invitations. Sellers can add Sales Agent manually to a meeting to generate a summary.

Install and pin Sales Agent in Teams
Create an app setup policy in the Teams admin center to install Sales for the intended users. Pinning the app makes it easier for sellers to find.
Create a custom Teams app setup policy
- Sign in to the Teams admin center.
- In the left pane, select Teams apps > Setup policies.
- On the Manage policies tab, select Add.
- Enter a name and description for the policy.
- Turn on User pinning. Under Installed apps, add Sales.
- Under Pinned apps, add Sales, and then arrange it under App bar or Messaging extensions.
- Select Save.

Assign the custom Teams app setup policy to a user group
- In the Teams admin center, go to Teams apps > Setup policies.
- On the Group Policy assignment tab, select Add.
- Search for and add the group you want to assign the policy to.
- Set the ranking for the group assignment.
- Select the policy you created earlier.
- Select Apply.

Enable Teams meeting transcripts
Sales Agent requires a transcript to generate meeting insights. In the Teams admin center, go to Meetings > Meeting policies, open the policy for your sellers, and turn on Transcription under Recording & transcription.
Set up server-side synchronization of emails and appointments
For Dynamics 365 Sales, saving Outlook emails and appointments requires server-side synchronization. Sellers can enable synchronization for their own mailbox when they first save an Outlook activity. Administrators can simplify deployment by configuring it for all Sales Agent users. For more information, see Connect to Exchange Online.
Confirm users have the right security roles
For Dynamics 365 Sales, Sales Agent privileges are included in these out-of-the-box roles:
- Seller roles: Salesperson or Sales Manager.
- Administrator roles: System Administrator or System Customizer.
Organizations that use custom roles must assign the corresponding Sales Agent security roles or privileges. Salesforce also has separate administrator and user requirements. Review Privileges required to use Sales Agent before rollout.
Set up Sales Agent chat
After installing Sales Agent in Outlook and Teams, configure Sales Agent in Microsoft 365 Copilot to enable its chat capabilities in Outlook and Microsoft 365 Copilot.
Welcome message
After deployment, users receive a welcome message from the Sales bot in Teams. The message introduces key capabilities and provides links to product guidance.
